Article I · Summary

Booth staffing in Washington, DC

Washington runs on conferences: defense, aerospace, government tech, transportation and hundreds of associations. Purple Exhibits staffs them with a DC-area roster of brand ambassadors, booth reps, models and registration hosts at a flat $85 an hour per person. That covers the Walter E. Washington Convention Center downtown, Gaylord National Harbor in Maryland and the big hotel ballrooms. Many visitors are federal employees, so we brief every team on giveaway and gift rules. Book four to six weeks ahead for AUSA and Sea-Air-Space; rush requests in 72 hours.

Article II · The venues

Downtown or National Harbor: two very different show days

The capital’s two big convention venues are 25 minutes apart, on opposite sides of the Potomac. We staff each with people who live closest.

Downtown

Walter E. Washington Convention Center

About 2.3 million sq ft across a three-block building in Mount Vernon Square, with the Marriott Marquis connected next door. Metro stops at the door, so staff arrive on time even on rainy January mornings.

  • TRB Annual Meeting
  • SATELLITE
  • AWS Summit Washington, DC
  • AUSA Annual Meeting
  • Washington Auto Show
  • Awesome Con
National Harbor, MD

Gaylord National Resort & Convention Center

A resort convention center on the Potomac, about 25 minutes south of downtown. No Metro stop on site, so we staff it with people who live in Prince George’s County and Alexandria.

  • Sea-Air-Space
  • Defense and aerospace symposia
  • Association annual meetings
  • Corporate conferences
Article III · Compliance

Your visitors may be federal employees. Your booth staff should know the rules.

Government attendees have strict limits on what they can accept. We brief every DC team so your giveaways help, not hurt.

$20 or less

Generally the most a federal employee can accept from you per occasion, and no more than $50 a year from one source.

Promo items

Pens, notebooks and other items of little intrinsic value are the safe giveaway. Our staff hand those out freely.

Raffles & prizes

High-value prizes need a careful plan. We collect entries the way your compliance team specifies.

Food & drink

Light refreshments at the booth are normally fine. Hosted dinners for government guests need your legal team’s sign-off.

General guidance based on federal ethics rules for executive-branch employees. It is not legal advice; your compliance team has the final word.

Article V · Getting there

How our staff ride to the floor

Downtown shows are a Metro city. National Harbor is a driving show. We plan call times for each.

Mt Vernon Sq/7th St–Convention Center

Green and Yellow lines stop under the north end of the building. Most of our downtown staff ride straight in.

Gallery Place–Chinatown

Red line, a five-minute walk south. For staff coming from Silver Spring, Bethesda and Union Station.

Metro Center

Orange, Blue and Silver, about ten minutes on foot. For Arlington and Northern Virginia crews.

National Harbor

No Metro. Staff drive in or take Metrobus links from nearby stations; we set early call times for the Woodrow Wilson Bridge.

Article VIII · Findings

Six DC mistakes we help exhibitors avoid

Ignoring the gift rules

A $75 giveaway can put a federal visitor in an awkward spot. Brief staff to offer low-value items and know when to stop.

Treating it like a consumer show

DC audiences are policy people, program managers and engineers. Booth staff should qualify, not perform.

Forgetting National Harbor has no Metro

Gaylord days need staff who drive in early. We book from Maryland and Alexandria for those shows.

Booking AUSA late

AUSA fills downtown hotels and the local talent pool every October. Reserve six weeks ahead.

No plan for badges and security

Defense shows can have stricter credential checks and photo limits. We read the exhibitor manual and brief to it.

Skipping the evening

Receptions at the Wharf, embassy events and Capitol Hill fly-ins are where relationships form. Brief a hostess team for the night.

How much do trade show models cost in Washington, DC?

$85 an hour per person, four-hour minimum, for any role: brand ambassador, booth rep, model or registration host. DC-area bookings carry no airfare, hotel or per-diem.

Do you staff AUSA and Sea-Air-Space?

Yes. AUSA fills the Walter E. Washington Convention Center every October, and Sea-Air-Space takes over Gaylord National Harbor in April. We send booth reps in business attire, briefed on your program and on credential rules, and we reserve teams six weeks ahead.

Can booth staff give gifts to federal employees?

Federal rules generally limit what employees can accept to $20 per occasion and $50 a year from one source, with exceptions for items of little value. We brief staff to offer low-value promotional items and to follow your compliance team’s plan for anything bigger. This is general guidance, not legal advice.

Which DC trade shows do you staff?

The TRB Annual Meeting, the Washington Auto Show, the Esri Federal GIS Conference, SATELLITE, Sea-Air-Space, Modern Day Marine, AWS Summit Washington DC, Awesome Con and the AUSA Annual Meeting, plus association meetings at the Washington Hilton, the Marriott Marquis and the Reagan Building.

How do staff get to Gaylord National Harbor?

There is no Metro stop at National Harbor, so we book staff who live in Prince George’s County, Alexandria and nearby, and set call times early enough to beat traffic on the Woodrow Wilson Bridge.

Do you provide staff who are U.S. citizens?

Yes. When a show or a client program requires U.S. citizens, we staff the booth accordingly and confirm it in writing.

What should booth staff wear at DC shows?

Business attire for defense, government and policy shows: dark suits or sheath dresses, low heels and minimal jewelry. Branded uniforms or costumes for consumer events like the Auto Show and Awesome Con.

Do you have bilingual staff in Washington?

Spanish, French, Arabic and Korean speakers are on the DC-area roster, and we can usually add other languages for international delegations with two to three weeks’ notice.

What if someone cancels on show day?

Our DC coordinator sends a briefed replacement within two hours, or that shift is free. Teams of four or more include a working lead.

Can Purple build the booth and staff it in DC?

Yes. We design, build and install exhibits at the Walter E. Washington Convention Center and Gaylord National Harbor, and staff them, under one plan.

Staff with protocol, booths with presence.

Send the show, the venue and your dates. A DC price within 24 hours.
