The short answer

Booth staffing in Louisville

Louisville runs two very different show floors fifteen minutes apart. Purple Exhibits staffs the Kentucky Exposition Center, home of the National Farm Machinery Show, and the Kentucky International Convention Center downtown, plus Derby-season hospitality and bourbon tastings, with local brand ambassadors, booth reps, hostesses and trade show models at a flat $85 an hour per person. Our Louisville crew can talk tractors with a farmer in February and host a suite on Derby weekend in May. Book four to six weeks ahead for the farm and trucking shows, eight to ten weeks for Derby week, and 72 hours for a rush.

Scratch sheet

Five Louisville mistakes we help exhibitors avoid

No. 1

Booking Derby week late

Every hotel and good host is booked by March. Lock your crew 8–10 weeks out.

No. 2

Mixing up the two venues

The Expo Center and the downtown convention center are 15 minutes apart. Book a crew for the right one.

No. 3

Sending city shoes to the fairgrounds

Farm and truck show aisles are long and concrete. We send staff in comfortable, branded footwear.

No. 4

No script for farmers

Farmers ask about horsepower, financing and the nearest dealer. Give us your talking points and we brief.

No. 5

Pouring without the rules

Spirits sampling has its own rules. We send hosts 21 or older and brief them on pours and ID checks.

How much do trade show models cost in Louisville?

$85 an hour per person with a four-hour minimum. Brand ambassadors, booth reps, hostesses and models all cost the same, and Louisville-area bookings have no travel charges.

Do you staff the National Farm Machinery Show?

Yes. We send ambassadors, booth reps and lead qualifiers who are briefed on your equipment, and we plan relief shifts for the four-day show in February.

Which venue is my Louisville show in?

Farm, trucking, fair and livestock shows run at the Kentucky Exposition Center by the airport. Medical, technology and association conventions run downtown at the Kentucky International Convention Center. The router on this page tells you which crew you need.

Do you staff the Mid-America Trucking Show?

Yes. Reps who can talk with owner-operators and fleet buyers, and hosts who run cab tours and scan every visitor.

Can you staff Derby week events?

Yes. We staff suites, sponsor tents, client dinners and downtown receptions during Derby week. Book eight to ten weeks ahead, because hosts and hotels fill early.

Can your staff pour bourbon at a tasting?

Yes. We send sampling hosts who are 21 or older and brief them on your pour sizes and ID checks. Your distributor or the venue confirms the sampling rules for each event.

Is Kentucky a right-to-work state?

Yes, since January 2017. Booth building rules still vary by show, so we confirm what staff may hand-carry and set up, and leave the rest to the show contractor.

How far is the Expo Center from the airport?

About ten minutes. Louisville Muhammad Ali International sits across the road from the fairgrounds, which makes early call times easy.

What should staff wear at a farm show?

Branded polos or denim and comfortable shoes. The aisles are long and concrete, and visitors trust staff who look ready to climb onto a tractor.

How early should I book?

Four to six weeks for the farm and trucking shows, eight to ten weeks for Derby week and three weeks for most downtown conventions.

What happens if someone on my Louisville crew can’t make it?

We call in a replacement from our Louisville bench, already briefed on your stand. If they are not on the floor within two hours, you do not pay for that shift.

Can the same company build our booth and staff it?

Yes. Purple builds exhibits for the Expo Center and the downtown convention center, so one team handles the booth, the freight and the crew.
