Keep the contractor conversation out of the aisle

A cutaway display attracts attention because people gather to look closely. Put its strongest viewing position inside the footprint and leave a clear route to the next station. A demonstration should have an identifiable beginning and end, allowing a visitor to join briefly without interrupting a longer technical discussion. Place the materials library near staff, where a requested sample can be retrieved without leaving the conversation unattended.

Use the meeting area to turn interest into an appropriate next action. A contractor comparing systems may need an application specialist; a supplier conversation may concern distribution and availability; an architect may need a finish or documentation package. Create separate follow-up categories without asking for unnecessary project information. After the show, send the specific material discussed and route technical questions to the authorized product team.

Roofing assemblies

Use sections to communicate relationships and comparative samples to communicate material choices. Separate a visual assembly reference from any formal performance evidence. Technical documents should remain readable and attributable to the relevant product, configuration and test context rather than appearing as unsupported numbers across a backdrop.

Architectural sheet metal

Finishes, folds and profiles benefit from controlled lighting and a clean sightline. Show enough real material to communicate form, with edge presentation approved by the product team. Organize the finish selection so visitors can compare a small meaningful set instead of searching a crowded wall of nearly identical pieces.

Tools and machinery

Design the machine position, operator space, audience position and service access together. If an operating demonstration is proposed, obtain the manufacturer's plan and confirm organizer requirements before the layout is finalized. Where live operation is unsuitable, a static setup with a well-framed process video can still explain the product's role.

Software and contractor services

Give service providers a visible workflow of their own. A short quoting, scheduling or documentation scenario should use demonstration data and lead to a discussion screen positioned within the booth. Keep screens close enough for a visitor to read without forming a crowd across the frontage.

Exhibit concept

An assembly gallery built around one conversation

Organize the booth around the decision a contractor is trying to make. Start with one representative roof or sheet-metal assembly, then reveal the products and support that make it understandable. Avoid filling the visitor's first view with every SKU in the catalog.

  1. Show the application

    Use a simple project image and a concise application label to establish context: residential reroofing, commercial roof assemblies, architectural metal or another category your company actually serves. Keep claims specific to approved product literature. A visitor should recognize whether the display applies to their work before committing to a detailed presentation.

  2. Expose the layers

    Create a manufacturer-approved section or physical mockup with clear labels and reachable viewing positions. Give the section enough depth to explain how components relate without making visitors lean across a barrier. The exhibit designer should receive the product owner's approved configuration; the booth should not invent an installation method.

  3. Let the sample travel

    Place small, clearly identified samples beside the main assembly so staff can bring texture, finish and edge details into a conversation. Use trays, storage sleeves and a documented replacement plan. A sample taken away from its display should still carry its correct product name and a route to the supporting information.

  4. Capture the project question

    Give the conversation a useful next step: a sample request, technical review, distributor introduction or project meeting. Record application, geography and the question that remained open. This is more actionable than collecting an undifferentiated badge scan and hoping a later email reconstructs what the contractor wanted.

Plan the load before designing the facade

A roofing exhibit can contain an awkward mixture of dense samples, long sections, pallets, tools and lightweight graphics. Create an inventory that records each item's dimensions, packed dimensions, weight, handling needs and final location. Distinguish the display object from its shipping crate, and account for the space needed to unpack it. These details affect freight, handling, labor and the order in which the booth can be assembled.

The FRSA expo page identifies separate move-in considerations for machinery, vehicles and larger displays, with times subject to change. Use that as a reason to coordinate the current instructions directly with the organizer, not as a substitute for a final delivery plan. Share the equipment inventory with the exhibit team before fabrication, and assign one person to reconcile the approved layout, shipment contents and service orders.

The human connection

Staff the sample, the demonstration and the next step

Assign visible roles before opening: a host to understand the visitor's application, a product specialist to handle the assembly discussion, and a person responsible for requests and scheduled meetings. In a smaller booth, one person may cover several roles, but ownership should still be clear. Rehearse how the team will pause a demonstration, replace a sample and move a detailed question into a quieter conversation. Staff should know which performance claims they can make and where to direct questions requiring a written technical answer.

Begin with the equipment envelope and handling requirements, then add the visitor experience around it. Preserve approved operation and service zones. Signage, seating and merchandise should fit the remaining usable footprint rather than forcing the equipment into a decorative plan.

Price the physical display, not just the graphics

The major cost drivers can be material weight, custom assembly fabrication, machinery handling, shipping volume, electrical requirements and labor for installation. Ask for a scope that distinguishes booth structure, product displays, freight, venue services and onsite support. Where cost reduction is needed, simplify the number of physical systems or consolidate shipping before reducing the clarity of the primary demonstration. Confirm current organizer and service-provider charges in the actual orders; a previous event's invoice is only a planning reference.
