Every specialty, one aisle: ACS Clinical Congress 2027 booths in San Diego

We design Clinical Congress booths so a general surgeon, a colorectal surgeon and a resident can each find their station without a guide, with FDA status shown beside every device. We submit ACS's booth drawings and our $2 million certificate of insurance on the organizer's schedule, and hand you a ready EAC notice to file.

What makes ACS Clinical Congress different, and how we build for it

Clinical Congress is the American College of Surgeons' own annual meeting, and the College screens the floor as closely as the program: its Exhibits Committee admits a product only when it ties to surgical practice or to patient care and safety, and refunds every company it turns down. That makes the hall one of the few places where general surgeons and nearly every subspecialty walk the same aisles. In 2026 the floor held the Innovation Theater, whose talks carry no CME credit, ACS Central with the Education Hub and the ACS Store, and a Career Fair. Tradeshow Logic handles exhibit sales for the College.

General surgeons in community and academic practice

The instrument or platform in their own hands, a plain answer on indications and FDA status, and a rep who can talk cases, reprocessing and price for a hospital value committee.

Subspecialists: colorectal, trauma, surgical oncology, vascular and others

A station labelled for their field so they reach the right device in one stop, plus video of the technique in their own procedures rather than a general reel.

Residents, fellows and medical students

A simulator or dry-lab model they can try between sessions, training and fellowship information, and a way to stay in touch before they choose where to practice.

Rules that shape your booth

Surgical products only, by committee

Exhibits must relate to surgical practice or to patient care and safety, as judged by the ACS Exhibits Committee, and a booth may display only the products named in the approved application (2026 rules). We plan the counter and graphics around that approved list so nothing on display falls outside it.

Organizer rule

FDA status signs beside the product

Products not FDA-approved for a use, or not sold in the U.S., are labelled with their regulatory status right beside the device and on each picture of it, with an FDA letter on allowable use kept at the display (2026 rules). We print the panels and mount the letter holder.

Organizer rule

Drawings for every booth, every year

ACS asks for dimensioned elevation and overview drawings for inline booths as well as islands, even if a design was approved before, and island plans must show setbacks, height, hanging signs and demo areas (2026 rules). We prepare and submit them for you.

Organizer rule

Pocket-size gifts, raffles by approval

Token gifts must fit a pocket, meet AMA ethics guidelines and not be worn; canes, yardsticks and noisemakers are banned, and any drawing or contest needs written ACS approval, and ACS points exhibitors to the AdvaMed, PhRMA, MITA, NEMA and AMA codes. We build lead capture around a demo.

Organizer rule

No photography on the floor

Only the ACS official photographer and registered press may take photos during installation, show days and dismantling (2026 rules), and press conferences are barred from the floor. We photograph your finished booth through approved channels and plan interviews inside your own space.

Popular booth sizes at ACS Clinical Congress

ACS sells inline booths up to 399 square feet with drape, side rail and carpet included, and islands from 400 square feet without flooring. We recommend a 10×20 inline with two stations for a focused device line, and a 20×20 island when robotics, energy and instruments need separate demo zones and a seated corner.

Case study · Pixee Medical

Pixee Medical at a medical technology congress

A focused, demo-first booth for augmented-reality surgical guidance, built so every visitor could try the technology while traffic kept moving.

Pixee Medical needed surgeons to try augmented-reality guidance without stalling the aisle; Clinical Congress exhibitors face the same job across many specialties at once.

04 Designing for surgical device, robotics, energy, instrument and surgical-services brands at ACS Clinical Congress

Four things we get right for ACS Clinical Congress exhibitors

Eye care professional fitting a trial frame with red and green lenses on a young woman1

Keep the front half under four feet

ACS limits the front half of an inline booth to 4 feet and the back half to 8, with equipment allowed up to 8 feet only where it leaves neighbors' sight lines clear. We put the video tower and graphics on the back drape and build a low, tilted instrument counter at the aisle.

2

Print the FDA status beside the device

ACS policy asks every exhibitor to keep a letter from the FDA describing a product's allowable use at the display, and anything not cleared for this use carries a readable sign beside the product and on any graphic showing it. We print status panels into counters and graphics and mount a holder for the letter.

3

Demo on models, not people

Clinical Congress bans live imaging, diagnostic, therapy or screening procedures on people or live animals and forbids human tissue; animal tissue needs a written request covering waste disposal. We build synthetic-model stations, and if you run video beside a live model we add the simulation sign the rules call for.

4

Enclose the laser, cap the sound

Aiming beams such as helium-neon are allowed, but carbon dioxide, argon and Nd:YAG lasers run in treatment mode only inside an enclosed space with eye protection for viewers, and audio stops at 80 decibels. We frame a closed laser bay with an eyewear rack and set speaker levels to that limit.

Logistics for ACS Clinical Congress 2027, handled

In 2026 Freeman was the general service contractor for labor, material handling, rigging and flooring, and accepted booth freight at its advance warehouse about a month before move-in. ACS required a Notice of Intent to Hire an EAC from the exhibiting company plus a $2 million certificate of insurance naming the College, Tradeshow Logic, Freeman and the convention center, and it bars crates behind the booth and all photography during installation. Installation had to finish by 2:00 p.m. the day before opening. We submit the drawings and our certificate, draft the EAC notice for you to send, consolidate demo units with the booth crates, and our project manager runs the San Diego install with vetted local labor, and your team flies into San Diego International (SAN).

Hall guide

ACS sets out the same features in its exhibit hall from year to year; this is how the 2026 floor was organised and what each area means for where and how you build.

Innovation Theater

Exhibitors and other organizations gave short presentations here Sunday through Tuesday in 2026; the College states these sessions carry no CME credit.

Our advice: If you buy a theater slot, we match the booth graphics to the talk and keep a demo station free for the surgeons who walk over afterwards.

ACS Central

The College's own hub; in 2026 it held the Education and Quality Hubs, Member Services, a MyACS headshot station and the ACS Store, with a Monday coffee break behind it.

Our advice: ACS takes proximity requests as guidance only, so we design the booth to read from any aisle rather than relying on a spot near ACS Central.

Island space, 400 sq ft and up

Islands paid $42.50 a square foot in 2026, carry no included carpet, top out at 24 feet with signs, and double-deck only in areas ACS designates.

Our advice: We put flooring on the proposal from day one and keep the lower 8 feet open toward the ACS-recommended 40% see-through.

Career Fair

A recruiting area on the exhibit floor, starting at Booth 1142 in 2026 and open through every exhibit hall hour, where attendees met potential employers.

Our advice: For staffing and practice-recruitment exhibitors we build a counter with a lead-capture tablet and a quiet seat for a first interview.

What Purple handles

  • Plan and elevation drawings for ACS approval, inline or island
  • FDA status panels printed into counters and graphics
  • Our $2 million certificate of insurance and a drafted EAC notice for you to sign
  • Labor, rigging, flooring and material-handling orders
  • Freight for the booth, demo units and synthetic models
  • Install and dismantle led by our own project manager

Timeline, counted back from move-in

Exhibitor hotel group blocks: last day to cut up to 20% of room nights without penalty: July 23, 2027. After this date a block that fills less than 80% of its room nights pays for the unused nights, so we need your staff count before then.

We need design sign-off by late July 2027.

  1. Early 2027Space contract signed with ACS; in 2026 the College wanted space paid in full by late February, and priority points shaped placement.
  2. Late July 2027Design sign-off; scaled plan and elevation drawings marked with heights, demo areas and FDA status panels, which ACS asks for even on inline booths.
  3. August 2027Production in Fishkill, NY over 30–45 days; drawings and our certificate of insurance filed by the College's deadline, and your EAC notice drafted for you to submit.
  4. About 3 weeks before move-inBooth crates, demo units and models ship together to the general contractor's advance warehouse; labor, rigging and flooring orders placed.
  5. Days before the hall opensMove-in; our project manager and vetted San Diego labor finish the build before the College's installation cutoff and run a device check at each station.
  6. October 16–19, 2027Clinical Congress runs; after the hall closes we dismantle and send the booth to storage or your next surgical meeting.

Purple planning timeline. Official move-in, freight target and order deadlines come from your exhibitor kit and assigned schedule; we confirm them against your booth when you book.

ACS Clinical Congress exhibitor questions

Questions exhibitors ask us before ACS Clinical Congress

How much does a booth at ACS Clinical Congress 2027 cost?

A 10×20 inline rental runs $7,500 to $15,000 from us and a custom 20×20 island $50,000 to $120,000; robotic consoles, laser enclosures and freight for demo units move the figure most here. ACS bills the space itself: at 2026 rates a 10×20 inline was $8,900 and a 20×20 island $17,000, and islands order their own flooring.

What is the deadline to book a booth for Clinical Congress 2027?

ACS assigns space in order of application, weighted by priority points. For the 2026 meeting the College wanted space paid in full by late February and booth drawings, the EAC notice and insurance certificates about six weeks before move-in. We plan to that same rhythm for 2027 and need your design signed off in late July.

Can we rent a booth for Clinical Congress, and what does a rental include?

A rental gets you the frame, fabric graphics with your FDA status panels, LED lighting, demo counters, a video tower and lockable storage, plus drawings, freight, install and dismantle on one fixed proposal. Booths under 400 square feet come with ACS's black drape, side rail and basic carpet, so we size the rental to sit inside that kit.

Can our own staff set up the booth at Clinical Congress?

ACS lets only full-time company employees wear exhibitor badges, and anyone else building your booth registers as an exhibitor-appointed contractor. The exhibiting company files the Notice of Intent itself, and the contractor carries $2 million in liability cover naming the College and the show contractors. Local San Diego labor rules then decide what your staff may do by hand.

Can we show a device that is investigational or not yet cleared?

ACS allows it with clear labelling: a product not FDA-approved for a use, or not sold in the U.S., must carry an easy-to-read label of that status next to the device and on every image of it in the booth. Promotion of unapproved uses stays off the floor. We build the sign into the counter so it cannot be moved away.

What does drayage cost at Clinical Congress, and who pays?

In 2026 Freeman handled material handling, which covers unloading, delivery to the booth, empty-crate storage and reloading, and billed it to each exhibitor as its own fee in the Exhibitor Service Kit. Demo carts, simulators and spare instrument trays add weight quickly, so we log the weight of each crate in advance and price drayage as a separate line of your proposal.

How do priority points work at ACS Clinical Congress?

Under the 2026 rules ACS awarded one point for every 100 square feet of space and two points for every $5,000 of sponsorship, and used them with application date to place booths. Points come off for violations: 10 for booking hotels outside the ACS block and 25 for misusing exhibitor badges, so we book your crew through onPeak.

Can we hold a dinner symposium during Clinical Congress?

Only through the College. In 2026 confirmed exhibitors booked Exhibitor Events in set evening slots, $19,400 on Friday and $31,800 on Sunday or Monday for satellite symposia, with no CME credit and no events during Convocation. We ship a compact tabletop kit with the booth freight for the room ACS assigns.

Can we reuse our Clinical Congress booth at other surgical meetings?

Yes. We build the counters and towers in modules so the booth can go on to the AORN Global Surgical Conference, the SVS Vascular Annual Meeting or the AATS Annual Meeting with new specialty graphics. Between meetings it stays in our storage and ships to whichever advance warehouse the next show names.

When is ACS Clinical Congress 2027?

Clinical Congress 2027 runs Saturday, October 16 to Tuesday, October 19, 2027, in San Diego. The College's 2027 exhibit hall schedule is not confirmed yet. At the 2026 meeting the hall ran Sunday, September 27 to Tuesday, September 29. The 2028 meeting is set for October 21 to 24 in Boston.

Where is ACS Clinical Congress 2027 held?

In San Diego, California. The College books hotels through onPeak, its only endorsed provider for 2027, and group blocks of 10 or more rooms go through a separate onPeak request form. The 2026 meeting was at the Walter E. Washington Convention Center in Washington, DC, and the 2025 meeting at McCormick Place in Chicago.

How many people attend ACS Clinical Congress?

The 2025 meeting in Chicago drew 10,559 in-person registrants and about 11,600 participants counting the on-demand program, with more than 160 companies in the exhibit hall. In 2024 in San Francisco ACS counted more than 10,000 in-person attendees and more than 150 exhibiting companies. ACS expects more than 8,000 attendees in San Diego in 2027.

Who organizes ACS Clinical Congress?

The American College of Surgeons, based in Chicago, owns and runs Clinical Congress. Its Exhibits Committee decides which companies may exhibit, Tradeshow Logic handles exhibit sales and exhibitor services for the College, and in 2026 Freeman was the general service contractor on the floor.

How do I get a booth at ACS Clinical Congress 2027?

You apply through the College's online booth sales with a credit card for the deposit, and the Exhibits Committee clears each product against its surgical-relevance test; a rejected application gets its money back. Skin lotions, massagers and phone accessories were among the examples ACS turned away for 2026.

Before you sign with anyone

Five questions to ask any exhibit builder for ACS Clinical Congress:

  1. Is every fee on the proposal, including what the show contractor bills?
  2. Who builds the booth: your own shop or a subcontractor?
  3. Will your project manager be on the floor for install and dismantle?
  4. What exactly is in the rental, and what is billed by the show?
  5. Where does the booth go after the show, and what does storage cost?

Common situations

Already own a booth? We refresh the graphics, repair what is worn, ship it, install it and store it between shows. You keep the structure you paid for.

Exhibiting from outside the US? We are your team on the ground: freight to the advance warehouse, show-service orders, installation and storage, with one project manager answering your emails in your time zone.

Short on time? A rental with your graphics can be ready in two to three weeks. We tell you on the first call what is realistic for your date.
