What makes SITC Annual Meeting different, and how we build for it

SITC calls its Annual Meeting the largest cancer immunotherapy conference, and the exhibit hall is built into the science: posters hang in the same hall, and SITC schedules lunch exhibits and evening receptions with booth staffing required. Space is sold as packages, from a Basic 10×10 inline to a Premier 20×20 island, each with an optional virtual booth. Exhibitors can add a 15-minute Tech Talk on the hall's open-air stage or a Sponsored Symposium, and the Industry Partnering Event runs the day before. SITC follows the PhRMA Code and ACCME standards, bans raffles outright and books ancillary events only through its own application.

Translational and clinical researchers

Assay validation, biomarker data and trial-support capacity they can put into a protocol, explained by a scientist rather than a sales rep.

Industry R&D and medical affairs teams

Partners for cell therapy, multiplex imaging, flow cytometry or sequencing work, and a quiet place to talk timelines and pricing.

Early career scientists

Tools and services for their first independent projects; SITC runs mentoring, a Meet-the-Expert lunch and The Node for this group.

Your team in National Harbor

One project manager, two shops, the whole SITC Annual Meeting build

Your SITC Annual Meeting booth is built in our own production shop in Fishkill, NY, or at our Las Vegas hub, shipped to the Gaylord National Resort & Convention Center and installed by vetted local labor with our own project manager on the floor. Turnaround is a predictable 30 to 45 days, with pre-show QA and secure storage for your SITC Annual Meeting booth.

When your team gets to National Harbor, the booth is lit and stocked. You just show up.

Rules that shape your SITC Annual Meeting booth

Inline 8 feet, front 4

Standard booths may reach 8 feet up to five feet from the back wall, and fixtures in the front five feet stay at 4 feet or lower (2026 rules). We put the tall graphics and screens in the rear half and keep the aisle side open.

Organizer rule

Islands to 24 feet, 30% open

Island fixtures and banners may reach 24 feet, with access from all four sides and at least 30% see-through from each side (2026 rules). We design open-frame islands that meet the ratio on every face.

Organizer rule

No raffles or prize drawings

Prize contests, awards, drawings, raffles and lotteries are banned anywhere on SITC meeting property, as are gaming devices, and selling is prohibited (2026 rules). We plan demos and meeting requests as the booth's call to action.

Organizer rule

PhRMA Code and ACCME separation

SITC adheres to the PhRMA Code and ACCME Standards for Integrity and Independence, allows no product advertising tied to educational sessions, and requires SITC approval for any food served (2026 rules). We keep booth content separate from session promotion.

Organizer rule

Ancillary events by application

Every function held alongside the meeting, from advisory boards to hospitality suites, needs an SITC ancillary event application and fee, and signage may not use the SITC name (2026 policy). We file the request with your booth plan.

04 Designing for immuno-oncology drug developers, life science tools and assay companies, CROs and biomarker labs at SITC Annual Meeting

Four things we get right for SITC Annual Meeting exhibitors

Gloved hand using a dropper to fill a row of clear petri dishes on a lab bench1

Light for 8 p.m., not noon

SITC's 2026 hall ran lunch sessions and evening receptions to 7 p.m. and 8:10 p.m., both with booth staffing required. We specify warm, even lighting and backlit graphics that read in a dimmed reception room as well as at lunch.

Rack of clear test tubes, a few holding red, yellow, green and blue solutions2

Island walls 30 percent open

SITC lets island structures reach 24 feet but requires access from all four sides and at least 30% see-through from each (2026 rules). We use open frames, fabric scrims and a single lit tower so the island stays tall without walling off neighbors.

Smiling female scientist and masked male colleague in lab coats talking beside a monitor3

No raffles, no selling

SITC bans prize contests, drawings and raffles anywhere on meeting property and prohibits selling; order forms may be handed out but no payment taken. We build engagement around a short demo, a data card and a follow-up meeting request instead.

Female scientist with curly hair writing notes while standing in a laboratory4

Built for hotel carpet

Gaylord National holds its shows on hotel carpet rather than a concrete exhibit floor, which changes floor protection and how heavy pieces move. We use lighter frames, protective runners and smaller crates sized to the resort's freight routes.

Where you could be at SITC Annual Meeting 2027

SITC has not said which Gaylord National space holds the 2027 hall. These are the conditions every show in this resort building works with, from Purple's venue guide.

ACarpeted exhibit and ballroom space
BOn-site rooms under the atrium
Gaylord National Resort & Convention Center, National HarborSchematic, not to scale
A

Carpeted exhibit and ballroom space

Every show at Gaylord National runs on the resort's ballroom and meeting-room carpet rather than a concrete exhibit floor.

Our advice We protect the carpet under heavy pieces and use lighter, smaller crates, which keeps material handling and floor damage charges down.

B

On-site rooms under the atrium

The resort has 2,000 rooms and more than 470,000 square feet of meeting and exhibit space under a 20-story glass atrium.

Our advice Staff staying on site can get back to the booth fast for SITC's evening reception blocks without a shuttle.

05 Gaylord National Resort & Convention Center · National Harbor

Logistics for SITC Annual Meeting 2027, handled

Gaylord National is a resort convention center in National Harbor, Maryland, with 2,000 rooms on site, so staff can sleep under the same 20-story glass atrium as the exhibit. Every show there runs on carpet, which changes drayage, rigging and floor protection; we plan material handling near $170 per hundredweight. SITC's 2026 decorator was Heritage Trade Show Services, booth floor covering was mandatory, EAC staff needed badges to enter on show days, and all food came from the venue's caterer; SITC has not named its 2027 contractor yet. Our project manager runs install with vetted local labor.

Hall rules, drayage estimates and freight deadlines for the building that hosts SITC Annual Meeting are in our Gaylord National Resort & Convention Center exhibitor guide.

What Purple handles

  • Booth design matched to SITC's package sizes and height rules
  • Reception-ready lighting for SITC's evening hall hours
  • Decorator orders, flooring and EAC badges handled for you
  • Carpet-safe freight and install at Gaylord National
  • Engagement plan that respects SITC's no-raffle rule
  • Storage and reuse for your next oncology meeting

SITC Annual Meeting exhibitor questions

Questions exhibitors ask us before SITC Annual Meeting

How much does a booth at SITC cost?

SITC has not posted 2027 prices. In 2026 its packages ran $4,000 for a 10×10 inline, $10,000 for a 10×20 inline, $20,000 for a 10×20 corner and $25,000 for a 20×20 island. Our custom 20×20 runs $50,000 to $120,000; decorator services and flooring are extra.

When is the SITC 2027 exhibitor deadline?

SITC has not published 2027 exhibitor deadlines, so they are not confirmed yet. In the 2026 cycle, ancillary event applications were due September 4 and booth cancellations were refunded, less $500, only until September 18. We aim for design sign-off in late August so the build is done before freight leaves.

Can we rent a booth for SITC?

Renting suits SITC's package sizes well: we supply graphic walls, an aisle counter, warm reception lighting, storage and floor covering, and we handle shipping and installation. A 10×20 rental runs $7,500 to $15,000 on top of SITC's package price.

Can we set up our own booth at Gaylord National for SITC?

SITC's 2026 rules required exhibitors to follow local labor regulations, detailed in the service kit from Heritage Trade Show Services, the 2026 decorator, and let exhibitor-appointed contractors in during install and dismantle hours only. We register as your EAC and bring the badges staff need to return on show days.

Are raffles and giveaways allowed at SITC?

Raffles, drawings, lotteries and prize contests are not allowed anywhere on SITC meeting property, and attendees cannot be signed up for drawings held after the meeting. Giveaways and samples are allowed from the booth when they comply with the PhRMA Code and the other guidelines SITC cites.

How much is drayage at Gaylord National?

The official decorator publishes material-handling rates in the exhibitor service kit sent after booth assignment. For Gaylord National we plan around $170 per hundredweight with a 200-pound minimum, and carpet-only floors favor smaller crates, which we build to.

Can an SITC booth be reused at other oncology meetings?

An SITC booth adapts well to ASCO in Chicago, IMMUNOLOGY2027 and ASGCT for cell and gene therapy, with graphics swapped per audience. Between meetings we store it and update data panels as new results come out.

Can exhibitors give a talk or symposium at SITC?

In 2026 exhibitors and sponsors could book a 15-minute Tech Talk on the exhibit hall's open-air stage for $5,000, with seating for about 100, or a 60-minute Sponsored Symposium for $35,000. Satellite sessions planned without SITC's invitation are not permitted.

When is SITC 2027?

SITC 2027 runs Wednesday, November 3 to Sunday, November 7, 2027 at the Gaylord National Resort and Convention Center in National Harbor, Maryland. Exhibit hall days are not confirmed yet; the most recent meeting is SITC 2026 in Phoenix, November 4–8, 2026.

Where is SITC 2027 held?

SITC 2027 is at the Gaylord National Resort and Convention Center in National Harbor, Maryland, just south of Washington, D.C., per SITC's meeting archive. It returns there after Phoenix in 2026; the meeting was last at Gaylord National in November 2025.

What are the SITC exhibit hall hours?

SITC has not posted 2027 exhibit hours, so they are not confirmed yet. In 2026 the hall opened Friday, November 6, 10 a.m.–2 p.m. and 5–7 p.m., and Saturday, November 7, 10 a.m.–2 p.m. and 6–8:10 p.m., with booth staffing required at lunch and receptions.

How many people attend SITC?

SITC prices 2026 sponsorships against an estimated 5,000 registrants, and its 2025 attendance profile shows more than 50 countries represented, 78% U.S. attendees and 45% from industry or biotech. SITC does not publish an exhibitor count.

Who exhibits at SITC?

SITC lists biotech and pharmaceutical companies, research and scientific supply firms, data and informatics companies, device makers, consulting groups, publishers, foundations and research institutions. SITC may reject any application and requires pre-approval for booth demonstrations.

Can we host a client dinner or advisory board during SITC?

Only with SITC's approval. Any function held alongside the meeting, from advisory boards to hospitality suites, needs an ancillary event application with a fee; in 2026 meeting rooms rented through SITC for $5,000 to $6,000 a day, and events must avoid core program times.
