ASHP Midyear 2027Exhibitor guide to booth costs, dates and deadlines

ASHP charged $52 per square foot in 2026, so a 10×20 cost $10,400 in space before $550 corners; the 2027 price list is not confirmed yet. Purple's build is a separate line: a 10×20 rental from $7,500 to $15,000, a 20×20 custom island from $50,000 to $120,000. Working automation, rigging and island drawings move the number most here.

ASHP sells booth space onsite one year ahead, so Midyear 2027 space is chosen during Midyear 2026 in Orlando, December 6–9, 2026, in Priority Point order. Points come from booth size, hotel block use, exhibiting at both Pharmacy Futures and Midyear, and sponsorship or advertising spend. Later, remaining space sells first come, first served.

We rent Midyear booths straight from our own Las Vegas shop: frame, printed graphics, LED lighting, demo counters set back to ASHP's rules and lockable storage, all under one fixed proposal including setup and teardown. After the meeting the booth rolls back to our warehouse across town.

Selling is off the table: ASHP's 2026 rules prohibit solicitation of business, order taking and selling on the exhibit floor, and limit promotional demos and presentations to ten minutes. Raffles and games of chance need ASHP's written approval. We design the booth for education, lead capture and booked follow-up meetings instead.

Linear booths stop at 8 feet, solid pieces taller than 4 feet must sit 5 feet in from the aisle, and hanging signs are out. Islands may reach 25 feet, hanging signs must sit between 16 and 25 feet, and multi-level booths are banned (2026 rules). Islands of 400 square feet or more need drawings approved by ASHP.

ASHP allows business functions in official meeting hotels only at times that avoid ASHP programming and exhibits: weekends, early mornings and from 5:30 p.m. Monday and Tuesday in 2026. The exhibitor fee was $1,900 for up to 50 people or $6,800 above that, with one 30×40-inch sign outside the room. Executive Suites near your booth were $11,000.

Health-system pharmacy suppliers also exhibit at ASHP's Pharmacy Futures in June, the APhA Annual Meeting in March and Asembia AXS, which, like Midyear 2027, is in Las Vegas. We hold your Midyear booth in our Las Vegas shop and rework it for each, swapping graphics and resizing the counter run.

We do. ASHP requires a written statement naming your outside builder, its address and supervisor, no later than 30 days ahead of move-in, plus insurance naming ASHP, SPARGO, Shepard and the venue. We file both, then order the Shepard services our build needs, such as porter service for any food.

ASHP lists the 2027 Midyear Clinical Meeting & Exhibition for December 5–8, 2027 in Las Vegas. Its hall schedule for 2027 is not confirmed yet. The most recent meeting runs December 6–9, 2026 in Orlando, and ASHP has set December 3–6, 2028 in New Orleans.

In Las Vegas, Nevada, according to ASHP's upcoming meetings list; the building is not confirmed yet. ASHP's last Las Vegas Midyear, December 7–10, 2025, was held at the Mandalay Bay Convention Center, and the 2026 meeting is at the Orange County Convention Center in Orlando.

ASHP counted 20,005 total registrants at the 2025 Midyear in Las Vegas: 12,389 pharmacy professionals, 4,218 students, 3,089 exhibit personnel and 309 other professionals. Ninety-eight percent were domestic. ASHP describes Midyear as drawing over 20,000 pharmacy professionals each year.

Midyear is closed to the public: it is a registered professional meeting for pharmacists, students, residents, technicians and health care professionals, and exhibit badges cover only exhibit staff. Each 10×10 includes four complimentary exhibitor badges, with up to the same number again purchasable at $140 each in 2026.

Companies that exhibited before reserve through SPARGO's returning-exhibitor application or at the onsite selection. A first-time company submits a brief summary of what it sells; ASHP checks that it fits hospital and health-system pharmacy, then confirms the space and sends the invoice.
