What makes ASHG Annual Meeting different, and how we build for it
The ASHG Annual Meeting calls itself the world's largest meeting for human genetics and genomics, and its Exhibit & Poster Hall is the center of the week: posters are presented in the hall at the end of each exhibit day, coffee breaks are held only there, and CoLab sessions run in open-air theaters on the floor. Booth space follows ASHG's priority point structure, with a New Exhibitor Pavilion for companies that have exhibited twice or less, plus an NIH Pavilion and a Nonprofit & Advocacy Pavilion. Industry Education sessions, exhibitor suites and ancillary events fill the rest of the meeting. The 2025 Boston meeting logged 24,000+ leads in three days.

Exhibitors may hire their own installers, photographers or other contractors, but each needs an Exhibitor Appointed Contractor form and certificate of insurance or is refused entry (2026 rules). We file ours with your COI.
Exhibitors packing or leaving before the official close are fined $750 per 10×10 reserved (2026 rules). We start dismantle only after the closing announcement and book crews accordingly.

Posters are presented in the hall at the end of each exhibit day, so the floor fills late in the afternoon. We schedule your demo loop and extra staff for those hours and keep the counter front clear for scientists walking from their boards.
3Talks stay inside your booth
In-booth talks and demos are allowed at ASHG if the audience stays inside your space and the audio does not bleed past your area. We build a short standing zone with directional sound and a screen inside the booth line.
4The booth arrives empty
Outside the specialty pavilions an ASHG booth comes with only pipe and drape, and carpet must cover the whole floor by 3 p.m. the day before opening or it is installed at your cost. We ship flooring, furniture and lighting with the booth.

In 2026 ASHG used one combined hall for booths and posters, Hall 220 on Level 2 of the Palais des congrès, just outside registration, with coffee breaks held only in the hall and poster presentations each afternoon.
Our advice Aisles next to the poster boards fill at day's end, so booths near them get the late surge; we keep the counter clear and staff heavy then.
CoLab Theaters
Open-air theaters on the exhibit floor seating about 75, with a basic AV package, for 30-minute industry sessions.
Our advice If your CoLab talk is on the floor, we print your booth number on the slide template and a floor graphic leading back to you.
Specialty pavilions
The New Exhibitor, NIH, and Nonprofit & Advocacy Pavilions each sell one turnkey 10×10 with carpet and furniture per eligible company.
Our advice A pavilion booth needs only graphics, so we print a backwall and counter wrap that fit the pavilion furniture and travel in one case.
05 Nashville, TN
Logistics for ASHG Annual Meeting 2027, handled
ASHG has named Nashville for October 26–30, 2027, but not the building, so we plan freight and labor once the exhibitor kit names the hall. In 2026 Freeman was ASHG's official services contractor with exclusive material handling, lifts, rigging and booth cleaning, and every third-party installer needed an Exhibitor Appointed Contractor form plus a certificate of insurance; we file both for you. ASHG also requires show insurance for every exhibitor, bans freight through the front doors and limits hand carry to one trip by one person without dollies. On the floor, our project manager leads the build and the teardown alongside vetted Nashville labor.

ASHG has not published 2027 rates. In 2026 an inline 10×10 cost $4,870 early, $4,965 standard and $5,660 late, and islands ran $52.85 to $59.25 per square foot. On our side, a 10×20 rental runs $7,500 to $15,000; a custom 20×20 island for a sequencing platform is $50,000 to $120,000.
When do ASHG 2027 booth sales open?
ASHG said 2027 information arrives in late 2026, with reservations by priority points. In 2026 the early rate ran to March 31, the standard rate to August 31 and late rates after; the last day to reserve was October 16. We plan design sign-off for mid-August 2027, before the late-rate window.
Can we rent a booth for ASHG?
A Purple rental for ASHG is a complete booth: backwall graphics cut under 8 feet, counters, demo monitors, LED lighting and the carpet ASHG requires, with shipping and both labor calls priced in the same quote. ASHG itself supplies only an 8-foot back drape, 36-inch side rails and a 7-by-44-inch sign.
Can we hire our own installer at ASHG?
ASHG lets exhibitors hire the labor provider of their choice, but each one files an Exhibitor Appointed Contractor form with a valid certificate of insurance, or the convention center turns them away. In 2026 that form was due October 16. We file it for every crew on your booth, whether we book the labor or you do.
Are talks, demos and giveaways allowed in ASHG booths?
ASHG allows them within limits. Talks and demos must keep the audience inside your booth and the audio from bleeding past it, and giveaways are handed out only at your booth, a CoLab slot or your suite, after you file the Exhibit Promotions and F&B Request Form. Catering comes only from the exclusive caterer.
What happens if we pack up early at ASHG?
ASHG fines exhibitors $750 per 10×10 reserved when they are found packing, dismantling or leaving before the official close, under its 2026 rules. We schedule dismantle crews to start only after closing and plan your team's flights around it.
Which hall will ASHG 2027 use in Nashville?
ASHG has not named the 2027 building or hall; both are not confirmed yet. In 2026 the Exhibit & Poster Hall was Hall 220 on Level 2, just outside registration, and we plan Nashville freight once the kit names the hall.
Can an ASHG booth be reused at other genomics meetings?
The same modular walls work at AGBT in Orlando, ASM Microbe in Chicago and ASBMB in Boston, and we hold the booth in storage until ASHG 2028 in San Diego. Graphics are swapped for each audience.
When is ASHG 2027?
ASHG 2027 runs Tuesday, October 26 to Saturday, October 30, 2027 in Nashville. Exhibit hall dates are not confirmed yet: the 2026 exhibitor FAQ mentioned October 27–29 for Nashville, but ASHG has not published 2027 exhibit days. Later meetings: San Diego, October 25–29, 2028, and Boston, October 16–20, 2029.

In Nashville, Tennessee. ASHG lists only the city for 2027, so the venue is not confirmed yet. The 2026 meeting is in Montréal, October 20–24, 2026, and the 2025 meeting was in Boston.

Is the ASHG exhibit hall open to the public?

Each 10×10 comes with six exhibitor badges and six single-day guest badges, plus two full scientific registrations per company; extra exhibitor badges cost $80.
How do I get a booth at ASHG 2027?
Through the ASHG Exhibitor Resource Center on Map Your Show, once ASHG opens 2027 sales. Returning exhibitors request a booking code from the exhibits team, and first-time companies can choose the New Exhibitor Pavilion, a turnkey 10×10 for companies that have exhibited at ASHG two times or fewer.
