Order desks with a beach-shop feel: Surf Expo 2027 booths in Orlando

We build Surf Expo booths that work like a coastal shop: boards and swim on the wall, a counter where surf-shop and resort buyers write orders. Freeman's union crews run material handling in the West Concourse, so we plan freight before the 30-day warehouse window.

  • Jan 6–8 and Sept 9–11, 2027
  • 600+ brands, September 2026
  • 80%+ of buyers write orders

What makes Surf Expo different, and how we build for it

Surf Expo calls itself the largest and longest-running watersports and coastal lifestyle trade show, and it runs twice a year at the Orange County Convention Center: January, when buyers shop fall/winter and spring collections, and September. Six core categories share the West Concourse: Surf, Swim, Resort, Boutique, Gift and Decor, and Souvenir, with a growing Dive Pavilion. Buyers come from surf shops, resorts, cruise lines, theme parks and the Caribbean, many looking for at-once inventory. Daily fashion shows, the Shape Off surfboard contest, Coastal Connections education and the Tidal Reach creator program run around the floor, and Surf Expo Connect lets exhibitors book buyer appointments before arriving.

Surf shop and boutique owners

Boards, wetsuits, swim and apparel shown the way their shop sells them, a rep who knows the brand's story, and minimums small enough for one or two doors.

Resort, cruise line, theme park and souvenir buyers

Gift, decor and logo-ready souvenir lines with clear pricing for multi-unit operations, plus in-stock goods for at-once delivery.

Caribbean and Latin American retailers

Distributors and brands that ship to island and international stores, Spanish-speaking staff where possible, and order terms settled on the floor.

Your team in Orlando

Built in two shops, run by one project manager

For Surf Expo, we build in our own shop in Fishkill, NY, and at our Las Vegas hub, ship to the Orange County Convention Center, West Concourse, and put our own project manager on the floor with vetted local labor for the install. Every Surf Expo build runs a predictable 30 to 45 days and gets a pre-show QA, with secure storage after.

When your team gets to Orlando, the booth is lit and stocked. You just show up.

Rules that shape your Surf Expo booth

Trade-only buyer credentials

Retail buyers must show a federal tax ID, a resale certificate or retail license and two recent invoices for similar goods; the show is closed to the public. We plan booth graphics for vetted buyers: price points, minimums and order terms, not consumer pitches.

Organizer rule

Freeman union material handling

Freeman, using union labor, is the exclusive material handler, storing freight up to 30 days ahead and delivering it to the booth (September 2026 rules). We crate and label to Freeman's warehouse so move-in starts with your freight in place.

Organizer rule

Thirty-minute self-unload limit

Self-unloading is allowed only from passenger vehicles with a 2-wheel dolly or by hand in 30 minutes or less; crates on wheels, box trucks and Sprinter vans go to the marshalling yard (September 2026 rules). We design small booths to fit that limit when it saves you fees.

Organizer rule

Minors only with approval

Under-16s may attend only as registered minor buyers or minor exhibitors with an approved parent or guardian, or as nursing infants, and each minor exhibitor uses one of your 10 badges per 10×10. We plan booth staffing around your badge count.

Organizer rule

No soliciting without a booth

Non-exhibiting manufacturers pay $2,000 per badge, two per company at most, and may not solicit or hand out materials. Selling on the floor needs contracted space, so we size the smallest booth that holds your line and an order desk.

Popular booth sizes at Surf Expo

Surf Expo counts booth space in 10×10 units, issuing 10 exhibitor badges for each one contracted. Swim and boutique brands work well in a 10×20 with racks and a counter; surf and dive hardgoods brands showing boards do better in a 20×20 or larger, with room for buyers to handle shapes.

04 Designing for surf, swim, resort, boutique, dive, gift and souvenir brands at Surf Expo

Four things we get right for Surf Expo exhibitors

Wall of colorful flip-flops and sandals hung for sale1

Boards stand up, not lie down

Surfboards, SUPs and dive fins sell on vertical racks, and Surf Expo buyers want to pick them up. We build freestanding board racks with soft padding and an open front, so a surf-shop owner can pull a shape, check rails and fins and set it back without help.

Snorkel, mask and fins resting on a flat rock by a calm sea2

Shop walls for six categories

Surf, Swim, Resort, Boutique, Gift and Decor, and Souvenir buyers each walk their own aisles. We merchandise the booth like the store it sells to: swim on faceouts, resort wear on hang rail, souvenirs on gridwall with price-point signage buyers can read from the aisle.

Woman holding a surfboard and watching the sunrise on Melbourne Beach, Florida3

An order desk for the 80 percent

More than 80% of Surf Expo buyers write orders at the show, and many come with Connect appointments. We give every booth a counter or seated table with power for a tablet, line sheets at hand and a quiet corner for multi-door buyers working through an open-to-buy.

Snorkeler gliding over a sandy reef among dark tropical fish4

Built for creator cameras

Tidal Reach put more than 50 content creators on the September 2026 floor, and a larger version is planned for January 2027. We add a lit backdrop wall and a clean product shelf so creators can film your line in the booth without blocking your buyers.

A

West Concourse exhibit floor

The West Building's halls form one long level with high ceilings and docks behind the halls off Convention Way.

Our advice Board racks and tall shop walls read well under the high ceilings; we keep the counter near the aisle where buyers decide to stop.

B

Category neighborhoods

Surf, Swim, Resort, Boutique, Gift and Decor, and Souvenir brands, with dive brands such as HEAD Watersports and Cressi in a Dive Pavilion in September 2026.

Our advice Know which buyer walks your aisle: souvenir and resort buyers scan price points, surf shops look for shapes and fins.

C

Fashion show runway and events

Daily show-floor fashion shows, the Shape Off surfboard contest and Coastal Connections education sessions run alongside the booths.

Our advice If your swimwear walks the runway, we print the same looks on your booth graphics so buyers can find you afterward.

Logistics for Surf Expo 2027, handled

Freeman is Surf Expo's show services provider and the exclusive material handler, using union labor, with warehouse storage up to 30 days ahead of the show. Self-unloading is only for exhibitors who can hand carry or use a 2-wheel dolly in 30 minutes or less from a passenger vehicle; box trucks, Sprinter vans, crates on wheels and anything over 300 pounds go through the Freeman marshalling yard, and Surf Expo notes booths larger than 10×20 rarely qualify. Electrical, lighting and utilities are ordered from the OCCC. Our project manager runs install with vetted Orlando labor and ships your crates to Freeman's warehouse on time.

Surf Expo exhibitors can find this building's hall rules, drayage estimates and freight deadlines in our Orange County Convention Center exhibitor guide.

Surf Expo exhibitor questions

Questions exhibitors ask us before Surf Expo

When is Surf Expo 2027?

Surf Expo has two 2027 editions in Orlando: January 6 to 8, 2027, Wednesday to Friday, and September 9 to 11, 2027, Thursday to Saturday. The January floor opens at 9 a.m. each day, closing at 6 p.m. midweek and at 4 p.m. on the Friday.

Where is Surf Expo held?

The show fills the OCCC West Concourse at 9800 International Drive in Orlando, Florida, for both the January and September 2027 editions. The West Building docks sit behind the hall off Convention Way, and Orlando International Airport is about 12 miles away.

How much does a booth at Surf Expo cost?

A 10×20 rental with a board rack and order counter runs $7,500 to $15,000 from us, and a custom 20×20 surf or dive island $50,000 to $120,000. Surf Expo quotes booth space through its sales category managers rather than online. Freeman material handling, OCCC power and parking at $20 plus tax a day add to the total.

Is Surf Expo open to the public?

Surf Expo is trade only and not open to the public. Retail buyers must supply a federal tax ID, a retail business license or resale certificate and two recent invoices for similar merchandise; first-time buyers also show photo ID and proof of employment. Qualified buyers who register two weeks ahead attend free.

Who attends Surf Expo?

Buyers from surf shops, boutiques, resorts, hotels, cruise lines, theme parks and national chains, with strong attendance from the Caribbean, Puerto Rico and Central and South America. In September 2026 buyers came from more than 2,000 companies, over half buying for operations of 2 to 250 stores, from 50 states and 52 countries.

Can we self-unload our booth at Surf Expo?

Only if you can hand carry or use a 2-wheel dolly and unload in 30 minutes or less from a car, SUV, pickup or passenger van. Box trucks, Sprinter vans, crates on wheels and items over 300 pounds go through Freeman's union material handling, and booths larger than 10×20 rarely qualify. Surfboard builders count as qualified POV.

Who handles material handling and drayage at Surf Expo?

Freeman, Surf Expo's show services provider, is the exclusive material handler and uses union labor. It stores freight up to 30 days ahead at its warehouse, delivers to your booth, handles empties and reloads carriers at move-out. We ship to the warehouse so your crates are on the floor first, and the estimate is on your proposal.

Can we rent a booth for Surf Expo, and what does it include?

Our Surf Expo rentals start at 10×20 and scale to islands: fabric graphics on a frame, padded board racks, hang rail and faceouts, a lit order counter, storage and flooring. Freight to Freeman, install and dismantle are priced together, and the same kit can come back for the September 9–11 show.

Can we bring children to Surf Expo?

Children under 16 may attend only as minor buyers with an approved shop owner, as minor exhibitors registered by your company contact, or as nursing infants under one. A minor exhibitor counts against your badge allotment of 10 badges per 10×10, and no minor may walk the floor alone.

How do we get a booth at Surf Expo?

New exhibitors submit a request through Surf Expo's Request Info form, returning exhibitors use the January 2027 application, and nonprofits can submit a participation request. A sales category manager assigns space, and your Contract Contact then gets the booth confirmation and badge registration links.

What is Surf Expo Connect?

Connect is Surf Expo's free buyer tool, included with your booth, for requesting appointments and messaging registered buyers before the show once your badge is registered. The show app adds lead capture by badge scan, and the Buyer Relations team recruits target accounts through hosted buyer programs.

Is Surf Expo worth exhibiting at for a new coastal brand?

For brands selling to surf shops, resorts and gift stores it is the category's main U.S. order-writing show: more than 80% of buyers write orders on site, and every attendee is vetted and badged first. New brands do best with Connect appointments booked ahead and in-stock goods for at-once Caribbean and East Coast buyers.

Where should Surf Expo exhibitors stay?

Evolvcon is Surf Expo's only official housing partner, with discounted rooms held on a first-come basis; Surf Expo warns that other resellers are not affiliated with the show. Hotels along International Drive put your team close to the West Concourse during move-in.

Can non-exhibiting reps walk Surf Expo?

Non-exhibiting brands, manufacturers, reps and suppliers may apply for a Non-Exhibiting Manufacturer badge at $2,000 per person, up to two per company, valid for one show. Soliciting and handing out materials are not allowed with that badge, so a booth is the only way to sell on the floor.

Before you sign for Surf Expo

Five questions to ask any exhibit builder for Surf Expo:

  1. Does the proposal list every fee, including the show contractor's bills?
  2. Who builds the Surf Expo booth: your own shop or a subcontractor?
  3. Who from your team is on the Surf Expo floor for install and dismantle?
  4. What exactly is in the rental, and what does Surf Expo bill?
  5. What happens to the booth after Surf Expo, and what does storage cost?

Common situations

Already own a booth? Your existing booth gets refreshed graphics and repairs, then we ship it to Orlando, install it and store it between shows. You keep the structure you paid for and bring it to Surf Expo.

Exhibiting from outside the US? We are your team on the ground in Orlando: freight to the advance warehouse, show-service orders, installation and storage, with one project manager answering your emails in your time zone.

Short on time? A rental with your graphics can be ready for Surf Expo in two to three weeks. You will know on the first call what is realistic for your Surf Expo date.
