Saws, slabs and an 80-decibel line: SURFEX 2027 booths in Indianapolis

We build SURFEX booths around a running machine or a slab wall, so a shop owner sees the cut, the edge and the cycle time before talking price. At the Indiana Convention Center we plan slab A-frames and forklift time with The Expo Group from day one of load-in.

What makes SURFEX different, and how we build for it

SURFEX is a new show built by the Stone Equipment & Supply Association (SESA) for one audience: the countertop fabrication shop. Its 2027 debut at the Indiana Convention Center puts saws, CNCs, waterjets, polishers, tooling, quartz, natural stone and shop software on one floor, with SESA members placed first through a Year 1 lottery and a SESA Pavilion for members. The education program runs tracks in Fabrication and Installation, Safety and Compliance with silica awareness, Technology and Production, and Business and Workforce, plus hands-on demonstrations. SESA's own terms set the tone: live cutting is expected, so dust suppression, guarding and an 80 dB limit at the aisle are written into the contract.

Fabrication shop owners

Owners are buying the next saw, CNC or slab supplier; they want cycle times, footprint, power and water needs, financing and service coverage, and they want to see the machine run.

Production and safety leads

They judge dust control, guarding and silica compliance first, so a demo that runs wet and clean answers their questions before anyone asks them.

Estimators, sales and office staff

Templating, estimating and scheduling software is aimed at them; they need a seat, a screen and a real job file walked through end to end.

Your team in Indianapolis

Two shops and one project manager for SURFEX

We build in our own production shop in Fishkill, NY, and our Las Vegas hub, ship to the Indiana Convention Center, and install with our own project manager on the floor and vetted local labor. Expect a 30–45-day build for SURFEX, secure storage and a pre-show QA.

Your staff walks onto the SURFEX floor and the booth is already lit and stocked. You just show up.

New at SURFEX 2027

  1. The first SURFEX

SURFEX debuts November 3–5, 2027 at the Indiana Convention Center, so there is no past edition to check traffic, aisle flow or booth placement against. SESA expects 2,500+ fabricators in 2027; plan the booth and staffing around that figure and the 100+ exhibitors on the floor. source

  2. Founding-exhibitor terms for Year One

SESA offers first-year partners competitive rates, promotes founding exhibitors across its channels to fabricators, and says benefits grow for returning exhibitors. A 2027 booth is priced as a first-year booth and also counts toward perks at later editions. source

Rules that shape your SURFEX booth

Dust control for every live cut

Demonstrations of cutting, grinding, polishing or lifting need dust suppression (water feeds, HEPA vacuums, enclosures), PPE, shields and access boundaries, with trained operators. We build each SURFEX demo bay with these controls before the machine arrives.

Organizer rule

80 dB limit, loud demos approved

Sound may not exceed 80 dB at the aisle or adjoining booth line, speakers face into the booth, and saws, CNCs and polishers need prior approval. We add enclosures and dampening panels and file the approval request with SESA.

Organizer rule

Guarded machines, approved movers

Blades, moving parts and hydraulics must be guarded, fuel-powered equipment must meet venue rules, and only approved contractors move heavy equipment using the exhibitor's reported weights. We send SESA exact dimensions and weights for every machine.

Organizer rule

Custom booths within manual heights

SURFEX allows custom displays if they meet venue safety rules and the height limits in the exhibitor manual, and every exhibit follows IAEE display rules. We design to those IAEE sightlines until the 2027 manual sets exact heights.

Organizer rule

$1 million liability insurance

Each exhibitor must carry general liability of at least $1,000,000 per occurrence, property insurance for its equipment and workers' compensation, with certificates possibly required before move-in. Our own insurance covers our work as your builder.

Popular booth sizes at SURFEX

SESA has not published SURFEX booth sizes or rates; members get exclusive pricing and lottery placement, then booths go first registered, first reserved. Machinery exhibitors typically need 20×20 or more for a running saw or CNC. We recommend a 10×20 for tooling or software and an island for working equipment.

04 Designing for fabrication machinery, tooling, slab, software and shop-safety suppliers to countertop fabricators at SURFEX

Four things we get right for SURFEX exhibitors

Gray salt-and-pepper granite surface filling the frame1

Design the demo bay first

SURFEX terms require dust suppression, PPE, shields and restricted-access boundaries for any live cut, grind or polish. We start with the demo bay: water feed and catch tray, HEPA collection, clear guards and a viewing rail, then build the rest of the booth around it.

Craftsman with an angle grinder shaping stone in a dusty workshop2

Stay under 80 dB at the aisle

SESA caps sound at 80 dB, measured at the aisle in front of your booth or at the adjoining booth line, and loud saws, CNCs and polishers need prior approval. We add sound-dampening panels and enclosures and aim speakers into the booth, so a demo survives a decibel reading.

Stonemason chiseling a sandstone slab beside a stack of cut slabs3

Slab weight drives the schedule

Stone A-frames with slabs are set by The Expo Group at $355.50 an hour in 2027, and only approved contractors may move heavy equipment. We send exact slab and machine weights early, so forklifts set A-frames and machines before carpet and booth walls go in.

Aerial view of a granite quarry with scattered cut stone blocks4

Show the whole shop flow

Fabricators at SURFEX think in workflow: template, cut, edge, polish, install. We lay the booth out in that order, with software at the entrance and finished edges at the exit, so a shop owner follows a slab through the process in five minutes.

Exhibit halls

Eleven exhibit halls totalling 566,600 sq ft of floor, per the venue's facility overview; the hall assignment comes with the SURFEX floor plan.

Our advice Machines and slab racks go in before carpet, so we confirm dock door and aisle access to your booth before the first truck.

B

Meeting rooms and ballrooms

71 meeting rooms and 3 ballrooms used across the building for breakouts and general sessions.

Our advice If you sponsor a session, we build a tabletop display that fits a hand-carry format for those rooms.

C

Skywalk system

Covered walkways run from the center to a dozen downtown hotels, over 4,700 rooms in all, with the JW Marriott the largest.

Our advice Crews and staff walk to the floor in any weather, but freight never uses it, so we route all deliveries through the docks.

Logistics for SURFEX 2027, handled

SURFEX load-in begins October 31, 2027 at the Indiana Convention Center, with exact times in the exhibitor manual. The Expo Group runs the service center and published 2027 estimates: material handling at $1.42 per pound, machinery from $0.50 per pound, blended labor at $195 an hour and forklifts from $355.50. Electrical, gas and water come from the convention center itself, at 2026 rates plus an expected 5 to 7%. The building uses union labor for install and drayage with Teamsters at the docks, so our project manager directs vetted local labor and we ship heavy freight to arrive in order.

Hall rules, drayage estimates and freight deadlines for the building that hosts SURFEX are in our Indiana Convention Center exhibitor guide.

SURFEX exhibitor questions

Questions exhibitors ask us before SURFEX

When is SURFEX 2027?

SURFEX 2027 runs November 3–5, 2027, its first edition. Exhibitor load-in begins October 31, and SESA's exhibitor terms set the full event window, including load-in and load-out, as October 31 to November 7, 2027. Daily show hours are not confirmed yet.

Where is SURFEX 2027 held?

At the Indiana Convention Center, 100 South Capitol Avenue in downtown Indianapolis. An enclosed skywalk ties the building to twelve hotels, the JW Marriott among them; the airport (IND) is a 15 to 20 minute drive.

Who organizes SURFEX?

The Stone Equipment & Supply Association (SESA), which its 2027 exhibitor terms list in Minneapolis, organizes and hosts the show. SURFEX is SESA's own show, built fabricator-first, and SESA members get priority placement and exclusive member pricing.

How do booth assignments work at SURFEX?

SESA members drawn in the Year 1 lottery choose booths in the order their names were drawn; after that, booths go on a first-registered, first-reserved basis. Associate Members receive discounted pricing, and non-members can exhibit at the General Admission rate.

How much does a booth at SURFEX cost?

SESA has not published SURFEX space rates; pricing depends on membership level and comes with the reservation. The 2027 service estimates are public: $1.42 per pound for material handling and $195 an hour for blended labor. Our 10×20 rental runs $7,500 to $15,000, and a working-machine island costs more.

What comes with a SURFEX booth?

Pipe and drape plus a listing in the exhibitor directory and the event app. Tables, chairs, electrical and every other service are extra, ordered through the Exhibitor Services Kit, with electrical ordered directly from the Indiana Convention Center.

Can we run cutting and polishing demos at SURFEX?

SURFEX expects them, under rules: dust suppression such as water feeds, HEPA vacuums or enclosures, PPE, shields and barriers, and trained operators in full control. Inherently loud equipment such as saws, CNCs and polishers needs prior approval and may be limited to set demo hours or sound-controlled zones.

What is the noise limit at SURFEX?

80 decibels, measured at the aisle directly in front of your booth or at the adjoining booth line, and show management can take readings at any time. A first breach brings a warning, a second a required change, and a third can mean equipment powered down.

What does it cost to move slabs and machines at SURFEX?

The Expo Group's 2027 estimates list stone A-frames with slabs at $355.50 an hour with a one-hour minimum, machinery handling from $0.50 per pound for up to 5,000 pounds, and a 5,000-pound forklift at $355.50 an hour. Late-to-warehouse freight costs $1.78 per pound.

What is the SURFEX cancellation policy?

Exhibit fees are refunded 50% through October 31, 2026, 25% from November 1, 2026 through April 30, 2027, and not at all from May 1, 2027. Booth transfers need written notice at least 60 days before the event, and a transfer fee can apply.

Who attends SURFEX?

SESA expects 2,500+ fabricators at the first edition: countertop shop owners, production teams, installers, safety leads, estimators, sales teams and office staff. Education runs in tracks for fabrication and installation, safety and compliance, technology and production, materials, and business and workforce.

Can we set up our own booth at the Indiana Convention Center?

You can hand-carry materials, but the building uses union labor for installation, dismantling and drayage, and dock access is restricted to Teamsters crews. Only approved contractors may move heavy equipment at SURFEX, so our project manager directs local union labor for the build.

Is SURFEX worth exhibiting at?

For suppliers whose buyer is the fabrication shop, it is the only U.S. show built entirely around that buyer, from a supplier association whose members already sell to it. As a first edition it carries no attendance history, so we plan booths that also travel to TISE and Coverings.

Ask these before you sign

Five questions to ask any exhibit builder for SURFEX:

  1. Will the proposal show every SURFEX fee, including show contractor charges?
  2. Who builds the SURFEX booth: your own shop or a subcontractor?
  3. Will your project manager be on the floor at the Indiana Convention Center for install and dismantle?
  4. For SURFEX, what is in the rental and what is billed by the show?
  5. Where does the booth go after SURFEX, and what does storage cost?

Common situations

Already own a booth? Your existing booth gets refreshed graphics and repairs, then we ship it to Indianapolis, install it and store it between shows. You keep the structure you paid for and bring it to SURFEX.

Exhibiting from outside the US? We handle the ground work for SURFEX: freight to the advance warehouse, show-service orders, installation and storage, with one project manager replying to your emails in your time zone.

Short on time? Rentals with your graphics can be ready in two to three weeks. On the first call, we tell you what is realistic for SURFEX.
