What makes ADA Scientific Sessions different, and how we build for it

The Scientific Sessions are the American Diabetes Association's flagship meeting, and the 2026 in-person crowd came from well beyond the U.S., led by China, the United Kingdom, Canada, Denmark and Germany. The exhibit hall opens with a Friday evening networking reception, then gives exhibitors a protected hour of unopposed time each day. Three 300-seat Product Theaters, Diabetes Learning Bytes, the Innovation Hub and in-hall Exhibitor Business Meeting Suites put industry education steps from your booth. Your booth has to win that daily hour with a device demo a clinician grasps quickly and a quiet seat for the data conversation.

Endocrinologists and internal medicine physicians

A fast look at outcomes data and how a CGM, pump or therapy fits their patients, plus a seated conversation with medical staff about evidence and access.

Diabetes care and education specialists, nurses and dietitians

Hands-on time with sensors, pens, pumps and apps, patient education materials they can take home, and staff who explain onboarding and daily use.

Scientists and researchers

Clear pipeline and mechanism information, trial updates and quiet space to talk about collaboration away from the busy aisle.

Rules that shape your booth

Inline back wall stops at 8 feet

ADA gives each inline booth a pipe-and-drape back wall 8 feet high, 3-foot side rails and, for booths of 300 square feet or less, a 7 by 44 inch ID sign (2027 prospectus). Our inline graphics stop at that 8-foot line.

Organizer rule

Carpet in every booth

ADA requires booth carpet for all exhibits, ordered from the official vendor, while aisle carpet is provided and cleaned daily (2027 prospectus). We order carpet or a hard floor with your other services so the booth is never stopped at inspection.

Organizer rule

Suites host meetings, not symposia

Exhibitor Business Meeting Suites may not hold educational symposia, sessions or group demonstrations, every guest must be a registered attendee, and only contracted exhibitors may buy one (2027 prospectus). We furnish the suite for small meetings and keep demos in the booth.

Organizer rule

Booth filming outside exhibit hours

Exhibitors may film within their booths only during non-exhibit hours, and may not film or photograph attendees without a signed waiver (ADA conference policies, 2026 meeting). We schedule your booth photo and video shoot right after install.

Organizer rule

Black-out times for outside events

Company functions outside the hall may not run during ADA's black-out times, such as 8 a.m. to 6 p.m. on June 19 and 20, 2027, unless internal only, and hotel space goes through ADA (SS27 ancillary rules). We time suite events around them.

Pixee Medical at a medical technology congress

A focused, demo-first booth for augmented-reality surgical guidance, built so every visitor could try the technology while traffic kept moving.

Different specialty, same problem: Pixee Medical needed every clinician to try the device while traffic kept moving, exactly the test of ADA’s unopposed hour.

04 Designing for diabetes device, digital health and therapy brands at ADA Scientific Sessions

Four things we get right for ADA Scientific Sessions exhibitors

Nurse in blue scrubs examining a bedside monitor showing vital signs in a hospital room1

Make the device demo dependable

CGM readers, insulin pumps, smart pens and companion apps need clean power, charging drawers, secure tablet mounts and screens that mirror live data at eye level. We build counters around your exact devices so a demo works on the first tap during the 12:30 p.m. rush.

2

Design for the unopposed hour

Traffic at ADA peaks from 12:30 to 1:30 p.m. on Saturday, Sunday and Monday, when no sessions compete with the hall. We plan wide entries, several staffed demo points and a clear queue so a crowd of educators and physicians moves through instead of stalling at the aisle.

3

Suite for meetings, booth for demos

ADA's in-hall Exhibitor Business Meeting Suites are $10,000 per 20×20 with 8-foot hard walls, and no symposia or group demonstrations are allowed inside. We keep promotional demos in the booth, route medical information and payer meetings to the suite, and brand both as one program.

4

Give educators something to carry

Diabetes care and education specialists and dietitians collect material for their patients. We build literature storage, sample-safe drawers and QR displays into the furniture so restocking happens without clutter and every visitor leaves with the right resource.

05 Walter E. Washington Convention Center · Washington

Logistics for ADA Scientific Sessions 2027, handled

Halls A, B and C of the Walter E. Washington Convention Center form one contiguous floor, but dock assignment differs by hall, so we label freight by hall. D.C. lets your staff set a small inline booth without power tools; islands, larger inlines and anything rigged go up with Teamsters and IBEW through the official contractor. ADA requires booth carpet, opens the hall with Friday's evening reception and closes it at 2 p.m. Monday. Move-in times for 2027 are not confirmed yet, so we ship to the advance warehouse rather than direct, which avoids surcharges, and the build is led by our project manager with vetted local labor while your team checks into the connected Marriott Marquis.

Hall rules, drayage estimates and freight deadlines for this building are in our Walter E. Washington Convention Center exhibitor guide.

Hall guide

The Walter E. Washington Convention Center has 703,000 sq ft of exhibit space across five halls, plus meeting levels. These are the halls this building uses and where ADA places its suites.

Halls A, B and C

One contiguous run. Hall B is the largest single hall at 194,000 sq ft, and Hall C adjoins A and B directly.

Our advice: Dock assignment differs by hall, so we plan your freight and labor calls around the hall your booth lands in.

Halls D and E

Round out the 703,000 sq ft total and serve mid-size shows, registration overflow and other event functions in the building.

Our advice: If your space or a product theater sits here, we route freight separately and schedule labor to match.

Concourse Level and Level 3

ADA sells extended-hours meeting rooms of 12×15 feet here at $7,125, open from Thursday at noon through Monday at 4:30 p.m.

Our advice: A suite plus a smaller demo booth works well for KOL and payer meetings; we brand both as one program.

Timeline, counted back from move-in

Full booth payment due to ADA: March 1, 2027. Lock your space by then and send us your booth size, so design starts in time for an early April sign-off.

We need design sign-off by early April 2027.

  1. March 1, 2027Booth space paid in full to ADA; we confirm your size and booth type and start the concept.
  2. Early April 2027Design sign-off, island drawings and contractor orders prepared from the ADA exhibitor kit.
  3. April to mid-May 2027Production in Fishkill, NY; device counters fitted and graphics printed with your approved copy.
  4. Late May 2027Booth, counters and literature ship to the advance warehouse for Washington.
  5. Days before June 18Move-in; our project manager and local labor install, test power and demos, and finish before the Friday reception.
  6. June 18–21, 2027Show days, then dismantle after the hall closes at 2 p.m. Monday, devices packed to your return plan and the booth to storage.

Purple planning timeline. Official move-in, freight target and order deadlines come from your exhibitor kit and assigned schedule; we confirm them against your booth when you book.

ADA Scientific Sessions exhibitor questions

Questions exhibitors ask us before ADA Scientific Sessions

How much does a booth at ADA Scientific Sessions 2027 cost?

ADA bills floor space at $42.50 per square foot inline and $47.50 for islands, so a 10×20 is $8,500 and a 20×20 island $19,000 before the booth. A Purple 10×20 rental runs $7,500 to $15,000 and a custom 20×20 island $50,000 to $120,000; device count, a closed medical information room and hanging signs move it.

What is the deadline to order a booth for ADA 2027?

ADA wants full booth payment by March 1, 2027, and space cancelled after December 31, 2026 owes the whole contract. For the booth itself, we need your design sign-off in early April 2027 so production fits our 30 to 45 day build and freight reaches the advance warehouse in late May.

Can we rent a booth for the ADA Scientific Sessions, and what is included?

Our ADA rental covers the frame, printed graphics, device counters, lighting, freight, install and dismantle, with your project manager on the floor. Diabetes device companies often rent the structure but own the custom demo counters, which then travel to ADCES and other clinical meetings through the year.

Can we set up our own booth at the Walter E. Washington Convention Center?

Only small ones. Your staff may set an inline booth of 100 square feet or less if no power tools are needed. Islands, larger inlines and anything rigged need Teamsters and IBEW labor through the official contractor; our project manager books and directs that crew and tests every device demo before the Friday reception.

What are the ADA booth rules for inline space?

Inline booths come with an 8 ft high pipe-and-drape back wall, 3 ft draped side rails and a 7 by 44 inch identification sign, and ADA requires carpet in every booth. We design inline back walls to that 8 ft line, so nothing gets cut down on the floor, and order the carpet with your other services.

What does drayage cost at ADA in Washington, and who pays it?

You pay it, invoiced by weight by ADA's official contractor. Purple's planning figure for the Walter E. Washington Convention Center is about $175 per hundredweight in 2026 and 2027, 200 pounds minimum. Crates sent to the advance warehouse avoid direct-to-show surcharges, and the estimate sits on your proposal before you sign.

Can we reuse our ADA booth at other diabetes and clinical shows?

We design the kit to reconfigure for ADCES in August, the AANP National Conference and the ACP Internal Medicine Meeting, so one investment covers your clinical season. Between shows we store the booth, refresh graphics when your claims change and send it on to the next meeting's warehouse.

Where do ADA meeting suites and halls sit in the building?

The convention center has five halls, with Halls A, B and C joined in one 473,000 sq ft run. ADA sells $10,000 suites inside the exhibit hall and $7,125 extended-hours rooms on the Concourse Level and Level 3, open Thursday noon to Monday 4:30 p.m. We build suite graphics and furniture alongside your booth.

We are exhibiting from outside the US. Can you help?

ADA's 2026 in-person attendance was led abroad by China, the United Kingdom, Canada, Denmark and Germany, and many exhibitors travel too. We handle the US side: design and build in Fishkill, freight to the advance warehouse, contractor orders, install, dismantle and storage between shows, all on one fixed proposal.

When is the ADA Scientific Sessions 2027?

ADA's exhibit management site lists the 2027 Scientific Sessions for Friday, June 18 to Monday, June 21, 2027, in Washington, D.C., at the Walter E. Washington Convention Center. The exhibit hall is open on all four days, starting with the Friday evening reception.

When is the exhibit hall open at ADA Scientific Sessions 2027?

ADA's 2027 schedule, which it marks as tentative, opens the hall with a networking reception on Friday, June 18 from 6:30 to 8:30 p.m., then 10 a.m. to 4 p.m. on Saturday and Sunday and 10 a.m. to 2 p.m. on Monday, June 21. Unopposed time is 12:30 to 1:30 p.m. each of the last three days.

How many people attend the ADA Scientific Sessions?

ADA's exhibit site counts more than 8,000 in-person professionals at the 2026 Scientific Sessions, and the prospectus names China, the United Kingdom, Canada, Denmark and Germany as the leading countries outside the U.S. that year. A 2027 attendance figure is not confirmed yet.

Is the ADA Scientific Sessions open to the public?

The meeting is for registered professionals, and name badges must be worn at all times and are non-transferable. ADA does not allow anyone under 18, even a paid registrant, into the exhibit hall, session rooms or the Poster Hall.

How do we get a booth at the ADA Scientific Sessions?

Apply through ADA's Exhibitor Hub, run by its exhibit manager A. Fassano & Co. Applications through February 28, 2027 need a 50% deposit and later ones full payment, with the last applications taken June 11, 2027. Each booth also earns priority points for picking 2028 space.

Before you sign with anyone

Five questions to ask any exhibit builder for ADA Scientific Sessions:

  1. Is every fee on the proposal, including what the show contractor bills?
  2. Who builds the booth: your own shop or a subcontractor?
  3. Will your project manager be on the floor for install and dismantle?
  4. What exactly is in the rental, and what is billed by the show?
  5. Where does the booth go after the show, and what does storage cost?

Common situations

Already own a booth? We refresh the graphics, repair what is worn, ship it, install it and store it between shows. You keep the structure you paid for.

Exhibiting from outside the US? We are your team on the ground: freight to the advance warehouse, show-service orders, installation and storage, with one project manager answering your emails in your time zone.

Short on time? A rental with your graphics can be ready in two to three weeks. We tell you on the first call what is realistic for your date.
