AAN 2027 booths in Washington sorted by subspecialty, from epilepsy to MS

We plan AAN booths so an epileptologist, an MS specialist and a movement-disorders neurologist each find their own station within a few steps of the aisle. In Halls A–B of the Walter E. Washington Convention Center we file the GES orders and your EAC notice, then ship to the advance warehouse before its April 22 cutoff.

What makes AAN Annual Meeting different, and how we build for it

The AAN Annual Meeting is a specialty congress first: sessions, posters and the Science Program pull neurologists out of the hall, so the exhibit floor runs on fixed hours from Sunday, May 2 to a 2:00 p.m.close on Wednesday, May 5. Exhibitors can join the Digital Health Neighborhood or the First-time Exhibitor Neighborhood, buy a 20-minute slot on the Exhibitor Presentation Stage, or add the Exhibit Hall Passport to pull visitors in. Industry Roundtable members get Industry Therapeutic Updates and premium meeting suites on Level 1. The AAN applies the CMSS Code for Interactions with Companies to giveaways, bans photography and microphones on the floor, and allows no peninsulas.

Subspecialty neurologists

A station for their own condition, whether MS, epilepsy, Parkinson's or neuromuscular disease, with the device or data in hand and a specialist who can talk mechanism and workflow without a script.

Academic neurologists and neurophysiologists

Raw EEG, EMG or imaging output on a screen they can scroll, the evidence summary on a printed sheet, and a quiet table to discuss a trial site or a research collaboration.

Practice leaders and advanced practice providers

How the system fits clinic flow, billing and staffing, shown in a short demo, plus a clear next step for a site visit or a trial unit.

Your team in Washington

Two shops, one project manager, every hall

We build in our own production shop in Fishkill, NY, and our Las Vegas hub, ship to the Walter E. Washington Convention Center, and install with our own project manager on the floor and vetted local labor. Predictable 30–45-day turnarounds, secure storage and pre-show QA.

Rules that shape your booth

Inline walls stop at 8 feet

AAN linear and corner booths may not exceed 8 feet, display material in the front five feet stays under 4 feet, hanging signs are banned over linear booths and every back must be finished. We draw the tall graphics to the rear half and finish the reverse side.

Organizer rule

Islands drawn open, filed by January 15

Islands need at least 400 square feet, stop at 20 feet, keep counters 1 foot from the edge and wall off no more than a quarter of the perimeter; a structural drawing for 20×20 and up is due January 15, 2027. We file it with the hanging-sign plan.

Organizer rule

No cameras, microphones or live X-ray

The AAN prohibits photography and filming, microphones outside its approved stages, operating X-ray equipment, live music, balloons and lanyards in the exhibit area. We build demos on screens with recorded output and print the message large enough to need no amplification.

Organizer rule

Giveaways follow the CMSS Code

Giveaway items must comply with the CMSS Code for Interactions with Companies and state gift laws such as Minnesota's, Vermont's and Massachusetts', and the booth giveaways and activity form is due January 15, 2027. We file the form and design takeaways as printed clinical references.

Organizer rule

FDA status before promotion

Products that require FDA promotion approval must have it before they are promoted in the AAN exhibition, and companies may not display or demonstrate products anywhere in the meeting facility outside the exhibit hall. We keep every product, panel and handout inside your booth footprint.

04 Designing for neurodiagnostic, neuromodulation and neurology therapy companies at AAN Annual Meeting

Four things we get right for AAN Annual Meeting exhibitors

Nurse adjusting an IV drip for a patient resting in a hospital bed1

Keep the front five feet low

AAN inline and corner booths stop at 8 feet, and anything in the front five feet of the space stays under 4 feet, with no hanging signs over linear booths. We put the lit header and tall graphics on the back half and keep demo counters and device plinths low at the aisle.

2

Build islands you can see through

AAN islands need open sight lines through the design, solid walls on no more than a quarter of the perimeter, counters set 1 foot in from the edge and no enclosed ceiling. We use a low, open frame with one glazed meeting pod and file the structural drawing by January 15, 2027.

3

Show the signal, not the camera

The AAN prohibits photography, filming and microphones on the floor unless pre-approved, and bans operating X-ray equipment. We stage EEG, EMG and imaging demos on recorded or simulated output on large screens, so neurologists see the trace clearly without anyone needing a camera or a headset mic.

4

Sort the booth by subspecialty

In 2026 the largest AAN subspecialty groups were neuroimmunology and MS, general neurology, epilepsy and movement disorders. We label each demo station by condition, not by product name, so a visitor between sessions walks straight to the counter that fits their clinic.

Logistics for AAN Annual Meeting 2027, handled

GES is the AAN's official services contractor, and any other installer must be named on the AAN's EAC form by January 15, 2027, along with the certificate of insurance; we file both. At the Walter E. Washington Convention Center, Teamsters and IBEW labor handles every island and rigged booth, so we price that labor on the proposal. Freight goes to the GES advance warehouse before receiving closes on April 22, crates leave the floor by 4:30 p.m. on Saturday, May 1, and booths not set by 8:00 a.m. on May 2 are reclaimed. Our project manager runs install with vetted local labor, and dismantle starts only after the 2:00 p.m. close on May 5.

Hall rules, drayage estimates and freight deadlines for this building are in our Walter E. Washington Convention Center exhibitor guide.

Hall guide

The AAN splits its 2027 exhibitor footprint across three parts of the Walter E. Washington Convention Center: the booth floor in Halls A–B, the meeting suites in Hall E and the session rooms on Level 1.

Halls A–B: the exhibit hall

Hall A covers 151,000 square feet and Hall B 194,000, part of the building's 473,000-square-foot contiguous A–C run, per Purple's venue guide. All 2027 AAN booths, neighborhoods and stages sit here.

Our advice: Dock assignment differs by hall, so we book the dock for your booth's position and order bridling where the AAN requires it for a hanging sign.

Hall E: exhibit hall meeting suites

Pre-built suites with an 8-foot hard wall, carpet, an ID sign and one locking door, from $18,000 for a 10×20 and $30,000 for a 20×20; larger suites are $8,000 per 100 square feet and exhibitor-built.

Our advice: Suites come unfurnished, so we order the furniture and AV, print the exterior graphics and land suite freight in the March 29 to April 22 window the AAN recommends.

Level 1: premium meeting suites

Rooms 143A–C and 144A–C, sold to Industry Roundtable members at $55,000, open 6:00 a.m. to 6:00 p.m. from May 1 to May 5, with setup April 29–30.

Our advice: Materials for these rooms also go through the GES advance warehouse, so we ship them with the booth and schedule both installs together.

Rooms 147AB to 152AB: Industry Therapeutic Updates

Lunch-time ITU rooms seating 240 to 270 banquet-style, $130,000 per program, open to Industry Roundtable members; evening ITUs move to the Marriott Marquis.

Our advice: ITU signage goes up only at set times and must be gone by 2:00 p.m. after a lunch program, so we print lightweight easel signs two people can set and strike.

What Purple handles

  • GES orders, the EAC form and the certificate of insurance
  • Booth giveaways and activity form, with items checked against the CMSS Code
  • Demo counters with recorded EEG, EMG and imaging content
  • Freight to the GES advance warehouse before the April 22 cutoff
  • Install and dismantle run by our own project manager

Timeline, counted back from move-in

Exhibit contract deadline for priority booth assignment and the lower space rates: December 4, 2026. After December 4 booths go first-come, first-served at higher rates and cancellations cost half the fee, so send us your size and goals before then and we price the build alongside the space.

We need design sign-off by early January 2027.

  1. Early January 2027Design sign-off, with every height, sight line and hanging sign marked for the AAN's structural drawing review.
  2. By January 15, 2027Structural drawing for booths of 20×20 and larger, EAC notice, certificate of insurance and the booth giveaways and activity form filed.
  3. Late January to March 2027Production in Fishkill, NY: demo counters, device plinths, fabric graphics and screens built and tested over 30 to 45 days.
  4. By April 22, 2027Crates arrive at the GES advance warehouse before receiving closes; carpet, electrical and rigging orders placed.
  5. April 28 to May 1, 2027Move-in by target floor plan; our project manager and vetted local labor finish by 4:30 p.m. on May 1.
  6. May 2–6, 2027Exhibit hall open May 2–5; dismantle after the 2:00 p.m. close on May 5 and through May 6, then freight to your next show.

Purple planning timeline. Official move-in, freight target and order deadlines come from your exhibitor kit and assigned schedule; we confirm them against your booth when you book.

AAN Annual Meeting exhibitor questions

Questions exhibitors ask us before AAN Annual Meeting

How much does a booth at the AAN Annual Meeting 2027 cost?

Device makers at AAN usually start with a 10×20: our rentals run $7,500 to $15,000, custom builds $15,000 to $45,000, and the AAN charges $9,500 for that space if you contract by December 4, 2026. A custom 20×20 island runs $50,000 to $120,000 plus $19,000 in space. Required carpet, GES labor on islands and demo screens move the total here.

What is the deadline to book AAN 2027 exhibit space?

December 4, 2026 is the contract deadline for priority booth assignment and the last day of the lower space rates; after it, booths go first-come, first-served and prices rise. Cancelling from December 5 costs half the exhibit fee. Islands of 20×20 and larger then owe a structural drawing by January 15, 2027, so we need design sign-off in early January.

Can we rent a booth for AAN 2027, and what does a rental include?

We rent complete AAN booths: the frame, printed fabric, lighting, a lockable demo counter, monitor mounts and the carpet the AAN requires, with shipping, installation and teardown priced together on a fixed quote. Every inline rental is drawn to the AAN's 8-foot cap and 4-foot front zone, with a finished back. After May 5 it returns to us, so nothing needs storing.

Can we set up our own booth at the Walter E. Washington Convention Center?

Not an island. Purple's venue guide for this building notes that island, rigged and larger booths go up with Teamsters and IBEW crews hired through the official contractor, and AAN islands start at 400 square feet. So we come as your registered installer: we name ourselves on the AAN's EAC form and send the certificate of insurance by January 15, 2027.

Can we demo devices, take photos or use a microphone in our AAN booth?

Demos are fine inside your footprint, but the AAN bans photography and filming on the floor unless its staff pre-approve them, allows microphones only on its approved presentation stages, and prohibits operating X-ray equipment. Products that need FDA promotion approval must have it before you show them. We design demos that run on screens and printed labels instead.

What does drayage cost at AAN 2027 in Washington, and who pays it?

GES bills material handling to each exhibitor at its kit tariff; Purple's planning figure for this convention center is about $175 per hundredweight with a 200-pound minimum for 2026 and 2027. Device cases, monitors and counters are the weight, so we consolidate crates, ship them before the April 22 warehouse cutoff and put the estimate on its own proposal line.

Which hall is the AAN 2027 exhibit hall in?

The AAN places the 2027 exhibit hall in Halls A–B of the Walter E. Washington Convention Center, with pre-built exhibit hall meeting suites in Hall E and premium suites for Industry Roundtable members on Level 1. Booth placement inside Halls A–B follows priority points, contract date and best fit, and you list three preferred booths.

Can we reuse our AAN booth at other neurology shows?

We build AAN booths in modular frames so the same structure can go to the AANS Annual Scientific Meeting, the CNS Annual Meeting or the International Stroke Conference reprinted for each audience. Between shows we refresh the panels and swap the device plinths before it ships to the next advance warehouse.

Do you handle GES orders and the AAN exhibitor forms?

We do. We order carpet, electrical, rigging and furniture from GES, file the EAC notice and insurance certificate, submit the booth giveaways and activity form and the island drawing by January 15, 2027, and track the GES advance warehouse window so your crates land before April 22.

When is the AAN Annual Meeting 2027?

The 2027 AAN Annual Meeting runs May 1–5, 2027, in Washington, DC, and online. The exhibit hall opens Sunday, May 2 and closes at 2:00 p.m. on Wednesday, May 5, two hours earlier than the old 4:00 p.m. close. Registration opens in early November 2026, and exhibitor registration opens December 16.

Where is the AAN Annual Meeting 2027 held?

At the Walter E. Washington Convention Center, 801 Allen Y. Lew Place NW, in Washington, DC. The exhibit hall is in Halls A–B and the hall meeting suites are in Hall E. The Mt. Vernon Square/7th St-Convention Center Metro station on the Green and Yellow lines is at the front door, per Purple's venue guide.

How many people attend the AAN Annual Meeting?

The AAN counted 16,340 total attendees at the 2026 meeting in Chicago and online, 13,191 of them professionals, with 22% of professionals from outside the US. The 2025 meeting in San Diego drew 14,886 and the 2024 meeting in Denver 14,063, both counting online participants.

Who organizes the AAN Annual Meeting?

The American Academy of Neurology, which represents more than 44,000 neurologists and neuroscience professionals. Its industry sales team sells booths, sponsorships and meeting space through one online portal on goeshow.com, GES is the official services contractor, and Convention Management Resources runs exhibitor housing.

Before you sign with anyone

Five questions to ask any exhibit builder for AAN Annual Meeting:

  1. Is every fee on the proposal, including what the show contractor bills?
  2. Who builds the booth: your own shop or a subcontractor?
  3. Will your project manager be on the floor for install and dismantle?
  4. What exactly is in the rental, and what is billed by the show?
  5. Where does the booth go after the show, and what does storage cost?

Common situations

Already own a booth? We refresh the graphics, repair what is worn, ship it, install it and store it between shows. You keep the structure you paid for.

Exhibiting from outside the US? We are your team on the ground: freight to the advance warehouse, show-service orders, installation and storage, with one project manager answering your emails in your time zone.

Short on time? A rental with your graphics can be ready in two to three weeks. We tell you on the first call what is realistic for your date.
