Trade show booth rental FAQ
How much does it cost to rent a trade show booth?
Our all-in rentals start at $11,750 for a 10×20, $13,800 for a 20×20 and $36,500 for a 40×40 at a Las Vegas, Orlando or Texas show. A typical 10×20 is about $19,450 and a typical 20×20 about $29,800. Each price includes design, production, shipping, setup, dismantle and logistics.
What does "all-in" include?
Design and planning, production of the structure and graphics, every item shown in the design (furniture, lighting, screens, flooring), shipping to and from the show, installation and dismantle, logistics coordination and show paperwork, and a project manager with an on-site supervisor.
What is not included in the rental price?
Material handling (drayage), electrical and Wi-Fi, which the show bills at its own rates. Booths with a hanging sign also need the show's rigging labor. We place all of those orders for you, and each design page estimates material handling for your city.
Will I get another invoice from you after the show?
No. The price in your proposal is fixed. The only other costs are the show’s own services (drayage, electrical, Wi-Fi and rigging labor), which the show bills to you directly.
Why does the price change by show city?
Install labor and freight rates differ between convention cities. Union cities such as New York, Chicago, Boston and Philadelphia cost up to 45% more than Las Vegas, Orlando or Texas. Pick your show city and every price on the page updates.
Is it cheaper to rent or buy a trade show booth?
For one to three shows a year, renting usually costs less. A custom booth typically costs 2.5 to 3 times the rental of the same design, and owning it adds storage, repairs and shipping every year. The rent-or-buy calculator on this page compares both for your show schedule.
Can a rental booth be customized with my branding?
Yes. Every graphic is printed with your artwork, and we adapt walls, counters, screens and furniture to your products and space. You approve a rendering with your branding before anything is built.
Can I change the layout of a design?
Yes. Treat each design as a starting point. We can add a storage room, swap a counter for a meeting area, add screens or change the furniture, and the proposal is priced from the final item list.
How far in advance should I book a booth rental?
Start 8 to 10 weeks before your show. Production takes 30 to 45 days and we need final graphics about 4 weeks before move-in. Ask us about shorter timelines.
What booth sizes can I rent?
This catalog runs from 10×20 inline booths up to 60×60 and larger pavilions, including inline, corner, peninsula and island layouts. A booth with a different footprint is listed under the closest of these sizes, and any size can be designed on request.
Do you handle installation and dismantle?
Yes. Our crew installs the booth before the show opens and dismantles it after, with a supervisor on site. It is included in the price.
Do you ship the booth to the show?
Yes. Freight to the show (or its advance warehouse) and back is included. We schedule it against the show's target move-in dates.
What do you need from me for a quote?
The show name and city, your booth number and size, the design you like (or a description of what you need), and your logo. Graphics can come later.
Do I need to register you as my exhibitor-appointed contractor (EAC)?
Most shows ask exhibitors to name the company installing their booth. We send you the details and complete the show's contractor forms for you.
Are furniture, TVs and flooring included?
Yes, everything shown in the design is part of the price, from counters and stools to screens and carpet. Each design page lists every item.
Can I add a hanging sign, LED wall or meeting room?
Yes. Pick a design that has one, or ask us to add it. The price changes with the items, and a hanging sign adds the show's rigging labor.
Can I rent the same booth for several shows?
Yes. We can store the booth between shows and quote the full schedule together, which costs less than booking each show separately.
Do you serve shows outside Las Vegas?
Yes, nationwide. We install in every major convention city, from Las Vegas, Orlando and Chicago to New York, Atlanta and San Diego. Local guides for each city are below.
How do I compare booth rental quotes?
Check what each quote leaves out. Many rental quotes exclude design, graphics, shipping or install labor and bill them later. Ours includes all of them, so compare our price with the other quote plus those items.
Is renting a booth more sustainable than building one?
Rental structures and furniture are reused show after show, so less material is built for one event and thrown away.
